Etsy requires a return policy on every physical listing — even one that says returns are not accepted — and shops without one can be pushed lower in search. But a policy copied from another shop can quietly break the law the moment an EU or UK buyer clicks Add to cart, because their consumer rights travel with them. This guide gives you eight return policy examples for different situations, a fill-in template, and the EU/UK statutory rules they have to respect — all drawn from the published sources, with nothing invented.

01Why Etsy asks for a return policy on every physical listing
Etsy is explicit: sellers outside the EU must set a return policy on every physical listing, even if that policy is that returns are not accepted (Etsy Help, article 7869401615255). It is not only about trust — Etsy says that not having a return policy, even a no-returns one, may make your listings appear lower in search results.
So the real question is never whether to have a policy. It is which policy fits what you sell, and whether it respects the law that applies to your buyer. This is where most shops slip: they paste a US-style "no returns" line, then sell to a buyer in the EU or UK, whose consumer law comes with them whatever the shop's own country. 02The statutory minimums that override your policy (EU and UK)
For buyers in the EU and UK, a statutory right of withdrawal overrides whatever your own policy says, so your wording has to leave room for it.
- EU: the buyer has 14 days from delivery to cancel for any reason, another 14 days to send the item back, and you refund within 14 days of receiving it — including the standard outbound delivery you charged. The buyer normally pays return postage (source: europa.eu, right of withdrawal).
- UK: the same 14-plus-14-day windows and 14-day refund, including standard delivery; who pays return postage is up to you (source: gov.uk, accepting returns and giving refunds).
- United States and rest of world: no statutory cancellation window applies to online orders, so your terms are the ones you choose — but Etsy still requires a policy on the listing.
The exemptions matter as much as the rule. Made-to-order and clearly personalised items, perishable goods, and digital content the buyer has begun downloading are all exempt from the EU/UK 14-day right. That covers most custom Etsy work. What it does not cover: anything faulty, damaged or not as described, which you must always put right.
03Eight Etsy return policy examples, by situation
Write your policy in plain language, from the buyer's side. Here are eight to adapt — keep the facts, change the voice to sound like your shop.
1. No returns (US or rest-of-world shop): I don't accept returns or exchanges. If your order arrives damaged or isn't what you ordered, message me within 3 days of delivery and I'll make it right.
2. 14-day returns (EU/UK-ready): You can cancel within 14 days of delivery for any reason. Send the item back within 14 days of telling me, unused and in its original condition, and I'll refund the price and standard delivery within 14 days of receiving it. Return postage is paid by the buyer.
3. 30-day exchange only: Not quite right? You have 30 days from delivery to exchange it for another size or colour. Items must be unused and in original packaging, and the buyer covers return postage. I don't offer cash refunds except where an item is faulty.
4. Personalised or made-to-order items: Because each piece is made to your specification, personalised and made-to-order items are exempt from the statutory 14-day right of withdrawal. I'll always replace or refund anything that arrives faulty, damaged or not as described — just message me with a photo within 3 days.
5. Digital downloads: Digital files are delivered instantly and can't be returned once downloaded, so all sales are final. If a file won't open or isn't as described, message me and I'll fix it or refund you (here's what to do when a digital order isn't as described).
6. Damaged in transit: If your order arrives damaged, send me a photo within 3 days of delivery and I'll send a replacement or a full refund, including delivery. You don't need to return the damaged item unless I ask.
7. Made-to-order with a change window: Made-to-order pieces are exempt from the 14-day right of withdrawal, but I'll accept changes to your personalisation for 24 hours after you order, before I start making it. After that, it's being made just for you.
8. Buyer-pays-return: Returns accepted within 14 days of delivery. The item must come back unused and in its original condition, and the buyer pays return postage. I refund the price and standard outbound delivery within 14 days of receiving it.
04A fill-in return policy template
Use this skeleton and delete the parts that don't apply to your shop:
- Window: "You can return an item within [14 / 30] days of delivery."
- Condition: "Items must be unused, in their original condition and packaging."
- Exceptions: "Personalised, made-to-order, perishable and digital items are not eligible for return, except where faulty or not as described."
- Return postage: "Return postage is paid by [the buyer / me]."
- Refunds: "I refund the price and standard delivery within [14] days of receiving the item."
- Faulty items: "If anything arrives damaged or not as described, message me within [3] days with a photo and I'll replace or refund it."
If you sell to EU or UK buyers, keep the 14-day cancellation right in the window line — you can't write it away, only state your exemptions.
The question is never whether to have a return policy. It is which one fits what you sell — and whether it respects the law that came with your buyer.
05How to set your return policy in Etsy
In Etsy, a return policy is a reusable object you attach to listings:
- Go to Shop Manager, then Settings, then Policies (or open an individual listing).
- Create or edit a return-and-exchange policy: set whether you accept returns and exchanges, and the window.
- Attach the policy to each physical listing. Etsy lets you apply one policy across many listings at once.
- For sellers outside the EU, every physical listing needs a policy attached — even a no-returns one — or the listing can rank lower.
Digital listings don't take a return-policy field, so state your digital terms in the description instead.
